Classic Supplier File Clean-up: Over 20,000 Classic supplier records were found to have incorrect/missing information. A two step plan to deal with the migrated 970s is under consideration. First, delete the “bad” supplier records that are linked to an open or placed Purchase Order if these orders are no longer active; otherwise new purchase orders will be re-entered for titles using a “good” supplier. Next, fix “bad” supplier records that are linked to closed Purchase Orders and Invoices; these suppliers will not be deleted. Aside from the 970 supplier problems, other supplier records have incorrect or missing information. Andy Kohler will provide lists to TPAC to identify these batches.

The procedures for creating a new Classic Supplier File will be reviewed for accuracy and any additions/changes that need to be made, such as checking the Web Supplier File before making a new supplier record.

E-Books – the library is investing $20,000 in E-Books with netLibrary. It is recommended that units create one PO per item purchased from netLibrary. TPAC will also recommend that LSAQ transfer the appropriate funds to the individual units for purchase of E-Books rather than pay from one lump-sum fund. It is being investigated whether these funds may be put in Special Funds for certain libraries that use those funds. Cataloging will need to be made aware when the E-Books are activated in order to make the hyperlink on the Orion2 page active, but it is not yet known how or when (if at all) netLibrary alerts its customers when a purchased E-Book is active. Other issues, such as the ability to obtain MARC records for E-Books prior to purchase (to use for the PO) and what other information is needed for these purchases to be made, are being investigated.

Web 2 – the enhancements which TPAC has requested (such as invoice or PO activity display) have been summarily rejected due to restrictions within the Web 2 interface.
