  1. Supplier database interface on the Web:

    Andy Kohler has developed an interface on the Web to the Classic Supplier file. TPAC has been testing this interface since June, while it was based on Andy’s workstation at Law. LIS, with Andy’s help, has recently mounted this on a library server to prepare to library-wide distribution. TPAC agreed to go ahead and release for staff use even though some records need to be fixed.

    TPAC will continue to discuss the following:

    1. If the migrated supplier from ORION1 is a 970 new Classic records should be created following the Classic Supplier ID creation procedures.
    2. If the migrated supplier from ORION1 was originally a 3 letter code and didn’t migrate new Classic Supplier ID codes should be created using the ORION1 3 letter code as the Supplier ID
    3. Duplicate Supplier records should not be deleted because they may be on open Purchase Orders or Invoices.

    Several questions remain:

    1. Can Expert Users delete Classic Supplier Ids?
    2. Can Classic Supplier records be made inactive? (Lola will investigate)
    3. If the 970 is a duplicate make those inactive?
    4. Can we get a list of all the Classic Supplier records that contain either incomplete or inaccurate data? (Reynaldo will ask Andy Kohler)
    5. If we make Supplier inactive can they be migrated?

    Actions to be taken:

    1. TPAC will coordinate the cleanup of Supplier records with “dirty” data.
    2. TPAC recommends that no Supplier IDs be deleted.
    3. Lola will find out if Supplier records can be made inactive. If so, duplicate Supplier records can be made inactive with cross-references to the active record.
    4. TPAC recommends to maintain Supplier database with active records. If there are duplicates it should not be a problem as long as the data is clean.
  2. Web II:

    Reynaldo has given Lola a sampling of Classic data that Darrow (LIS) can use for testing to see if we can get any data to display in the OPAC. TPAC will work on defining minimal information that would be useful on the OPAC display if Darrow’s testing is successful.

  3. ORION1 Archive:

    Reynaldo is talking with Gary Thompson regarding when we might expect to have title searching capability. This search is extremely important when searching for serial titles.

    TPAC agrees that this capability would be desirable but is comparably low in priority. At some point all the old data (ORION1 and Classic) will be in one place, e.g. the Data Warehouse.

  4. SRLF Procedures:

    Reynaldo and Angela are helping facilitate discussions regarding conflicting instructions with SRLF deposit procedures.

  5. Sharon Sullivan asked that TPAC explore accessibility on the Web of OLGA, LARS and other databases staff may be using.

    TPAC will discuss in more detail at a future meeting. For that discussion we will need to identify what information from LARS and OLGA would be useful on the Web and how often would it need to be updated to make it useful. (Currently the Management Library adds to the ORION2 records information relating to processing in these 2 databases). What is the goal for having this access? TPAC will need to come up with a proposal so he can discuss this with Cindy Shelton.

  6. TPAC needs to revamp its’ web site. Reynaldo asks that we think of what we need to change.
  7. Minutes of the November 2nd meeting were approved.
