The new fund extension proposal for SEL was discussed with Lorelyn Lewis. Lorelyn related that SEL has no problem incorporating Andy's suggestion to use "SUB" as the first prefix before their proposed codes (which are distinguished by subject as listed in the UCLA Schedule of Classes). This would allow segregating reports based on the electronic fund extensions. When an electronic resource is purchased, the "SUB" could simply be replaced with the established e-resource fund extension.
So far, the defined fund extensions beginning with the 7th character position are: EDC, EDW, EJC, EJW, EMC, EMW, SUB, REF
TPAC discussed the possibility of using Classic report class and subject codes as an alternative, but came to the agreement that fund extensions are a much simpler and efficient way of tracking expenditures.
Reynaldo will meet with Cindy Shelton this afternoon to discuss the SEL proposal.
TPAC will revisit this issue next meeting. Andy will edit and send his summary for discussion.
TPAC has no objections to ACC's draft for creating separate holdings records for accompanying materials, which involves utilizing the $k in the 852 field and the coding of an 007 field. Andy suggested that a formal list of acceptable terms used in the $k be supplied by ACC with the policy. TPAC agreed that clarification is needed on the implementation of the policy: are units expected to correct records that are now inconsistent with this practice, or does the policy take place only from the date of issue? Reynaldo will relay these comments to Sara Layne.
TPAC reviewed the Acquisitions SIRS favorites list, the NETCAT SIRS, and the Serials SIRS. TPAC determined the top five SIRS in each of these categories, listed in order of importance:
Acquisitions SIRS: 2, 26, 27, 21,1
NETCAT SIRS: 9, 12, 5, [4a], 13
Serials SIRS: 8, 12, 7, 4, 10
WEB2 SIRS will be discussed and voted on at the next TPAC meeting.
It is possible to edit the main policy file in Classic to include the postal recharge code for each unit. This would cause the postal code to be printed on the last line of the return address for purchase orders, claim, and cancellation notices.
TPAC agreed that LIS should be responsible for making these changes.
Andy will draft a message, informing units that this option is available, and that LIS will add or change these codes upon request.
Steve Osako's online recharge form looks good; TPAC will test and discuss at next meeting. Reynaldo will contact Steve to ask for the incorporation of a few examples to the written guidelines. The Online Correction Notice is ready to be mounted on the Web; Reynaldo will send to Clark Thompson in LIS.
TPAC agreed that a separate document is needed. Germaine will re-send her draft to TPAC for review; then it will be posted separately on the Web.
Lola reported that DRA does not want its clients to update the country code file-all requests for updates must be sent to DRA.
Lola is awaiting an update on the availability of Classic Web.
Of late, there are many unit requests for custom reports.
Lola will look into creating NETCAT workforms on Classic, so that they can be created on demand by LIS.
Andy is waiting for an update from LIS regarding release for processing staff access of his online supplier file.
