TPAC MEETING
7/6/2000

Present: Andy Kohler, Reynaldo Quitos (chair), Sharon Sullivan, Germaine Wadeborn (recorder)

Absent: Carlo Medina, Angela Riggio, Lola Willoughby.

  1. Fund Structure implementation:

    Cindy Shelton has sent an addendum to her initial email regarding the fund extensions designated for electronic resources. Since that time there have been no additional responses or comments to TPAC from units.

    TPAC agreed that guidelines should be established to include the following:

    There are a variety of options to standardize use of fund extensions so that their use remains legitimate and meaningful. Other options might be the use of Report Classes or Subject Codes in Classic. This is an area TPAC will need to explore.

    Reynaldo will discuss with Cindy her intent for use of the fund extensions, and whether or not they are an appropriate use for other than electronic resources. TPAC may also need to meet with Steve Osako from LBS.

  2. Classic Currency and Country codes on the web:

    It was agreed that Andy Kohler would send the revised Currency tables to Clark Thomson to mount on the web. In the future staff from LBS will take care of notifying Clark to up the currency/country tables.

    Reynaldo checked the Country tables and the date on them is still 9/28/98. Andy Kohler will check with Clark to see when the updated tables will be mounted.

  3. Revision to Correction Notice form:

    Sharon Sullivan's Documentation team has finalized procedures for using the online Correction Notice form. Steve Osako from LBS was asked for comments and TPAC is still waiting for his reply. As soon as that is received the procedures and form will be released for use by all units. It is hoped this will happen by the end of July 2000. Several minor cosmetic changes need to be made to the form.

    TPAC is also developing procedures for the online Recharge (Budget Charge) form. This form, however, won't be able to be released until August or September.

  4. Minutes of the June 29, 2000 meeting were approved. Reynaldo will distribute.

  5. Classic ORDER TYPE (line2) of SERIAL:

    We recommend that the existing ordering documents be enhanced to include appropriate use and procedures for the SERIAL order type. Sharon's committee will work on this.

  6. Recommendation for use of the keyword searchable Supplier File developed by Andy Kohler for the Law Library has been forwarded to Cindy Shelton. This file allows for keyword searching and includes weekly updates for Supplier Records created in Classic. TPAC is recommending use of this file for all staff and that LIS take over maintenance of it.

    Andy K. has also developed a similar file for invoices whereby the database is searchable by invoice number and Supplier ID. TPAC will work with this database and make recommendations in the future.
