TPAC MEETING NOTES
June 8, 2000

Present: Reynaldo Quitos (chair), Andy Kohler, Angela Riggio, Sharon Sullivan, Germaine Wadeborn, Lola Willoughby, Carlo Medina (recorder)

  1. At CMC, the subfund usage survey was discussed. Cindy Shelton will state what changes she wants made to the way units use their subfunds and present the changes to CMC for further discussion. Following that, CMC and TPAC will discuss the practicality and workload impact of instituting those changes.

  2. As of this meeting, the plan was still to implement the subfund structure for electronic materials, as discussed in the last TPAC meeting and presented to CMC, by July 1, 2000.

  3. “How to change funds on Standing Orders” document is currently being circulated for review.

  4. TPAC will inquire with LBS as to whether or not they will issue further documentation on what can and cannot be done after the close of the fiscal year (currently June 16, 2000) while LBS is rolling the funds and carrying over encumbrances for the next fiscal year.

  5. LIS updates: They are still working on the installation of the new UDMS software. DRA Classic backups are still happening at the appropriate intervals. A batch of older claims have been sent out to the units, with the next batch of claims currently scheduled to be run on October 1, 2000. LIS has not had a lot of requests for custom lists (with Orion 1 there was usually an influx of requests around the end of the fiscal year).

  6. Documentation committee has been working on the “Changing funds on Standing Orders” document. Due to upcoming vacation plans, the Documentation Committee may not have much output for the summer. Germaine is drafting the “PO type AR” document to submit to the Documentation Committee.

  7. TPAC is still awaiting the arrival of the SRLF documentation.

  8. Serial withdrawals procedures are still under discussion between Sara and Cindy S.

  9. Andy Kohler’s searchable supplier database is almost ready for viewing and testing by TPAC members.

  10. TPAC will send a request to LIS for the completion of Orion 1 archive features, such as title searchable, etc.
