Cataloging Internet Resources

Interim Policy (valid until implementation of ORION2). We will implement this policy now, and during the months between October 1997 and the implementation of ORION2 we will solicit comments from appropriate staff, both in public and in technical services, on how the policy should be changed when we implement ORION2. Once data migration is complete we will revise existing records to conform to the new policy.

This policy requires cataloging staff to add "Internet" information to the 938 field. The 938 field is normally used by processing staff; if information already exists in a 938 field, consult with appropriate processing staff before adding "Internet" information to the field. Similarly, processing staff are asked to consult with catalogers before adding processing information to an "Internet" 938 note.

Cataloging staff will be responsible for updating URLs (Uniform Resource Locators) in both 856 and 938 fields. Anyone becoming aware of a change in a URL for an Internet resource is asked to notify the appropriate cataloging center.

  1. Equivalent paper (or CD-ROM or other format) version exists at UCLA; an additional, Internet version is also available.
  2. We will assume equivalence unless there is quickly apparent evidence (e.g., in the title or other introductory "pages" of the Internet version) that suggests there are differences in content between the two versions. For example, "contains selected articles from ...", "contains additional graphics ...". If the difference is in coverage dates alone (e.g., the Internet version of a serial begins later than the paper version), the two versions will still be considered to be equivalent, since the difference may be seen as one of "holdings" only.

    Add the following fields to the record for the existing version:

    • 530 Also available on the Internet.
    • 856 41 $u [URL] $z [Public note]
      Example: 856 41 $u http://www.iop.org/EJ/3/206/bin/journal/ja $zInternet version available via the World Wide Web.
    • 938 INTERNET VERSION [coverage dates if appropriate] available via the World Wide Web. [Restrictions if any.] Address for Internet version (as of [date checked]): [URL]
      Example: 938-1 INTERNET VERSION (1996- ) available via the World Wide Web. Full text access is restricted to UCLA IP addresses. Address for Internet version (as of 2/11/97): http://www.iop.org/EJ/3/206/bin/journal/ja
      For the 938, use the branch code appropriate to the cataloging center and branch.


  3. No equivalent paper (or other format) version exists at UCLA.
  4. Catalog the online version.
    1. Branch: Use the branch code that would be used if the resource were paper rather than electronic.
    2. Location: Do not use a "loc" code.
    3. Call number: If classification is desired, assign a class number, but instead of a standard cutter use "Internet Resource".
      Example: QA 1 Internet Resource
    4. 856 40 $u [URL] $z [Public note]
      Example: 856 40 $u http://e- math.ams.org:80/msnhtml/mathscimain.html $z Internet resource: available via the World Wide Web.

  5. After data migration we will request a list of all records that contain 856 fields and make modifications as necessary.
